Workflow optimisation · NDIS & Aged Care

Less administration. More time for people.

Smarter workflows for NDIS and Aged Care providers. Quality support is complex enough without disconnected systems, repetitive paperwork and unnecessary administration.

Distilld helps providers simplify how work gets done: improving processes, connecting existing systems and introducing automation where it makes a meaningful difference. The aim is to give teams more time to support people, while respecting each person’s choice and control.

People first

Make the work simpler for staff and the people receiving support.

Privacy considered

Handle information carefully and design with security and accountability in mind.

Human oversight

Keep people responsible for important decisions and review of AI-assisted work.

The challenge

Great care shouldn’t require endless administration.

Between service coordination, documentation, compliance obligations, rostering and reporting, administration can consume time and resources. Often the issue is not a lack of technology, but that existing systems do not work together effectively.

  • Double handling

Entering the same information into multiple systems.

  • Manual coordination

Relying on email, spreadsheets and calls to manage everyday operations.

  • Documentation overload

Spending valuable time preparing, reviewing and organising records.

  • Disconnected systems

Keeping information in platforms that do not communicate.

  • Reporting pressure

Manually compiling information for operations, quality and compliance.

  • Limited visibility

Finding it difficult to see where work is delayed or effort is being lost.

Meaningful improvements often come from redesigning workflows and helping the tools you already use work better together. Replacing your existing software is not always necessary.

What we do

Better processes first. Technology second.

We start by understanding how your teams actually operate, then look for unnecessary complexity and practical opportunities to improve. The aim isn’t to automate everything; it’s to make the right improvements in the right places.

Where it helps, we also use AI carefully, with people reviewing every output, build focused software when existing products don’t fit, and support systems as your needs change. See all services.

Examples

Where could better workflows make a difference?

Every organisation works differently. These are possible areas to explore, not predetermined solutions.

  • 01

    Referrals and intake

Reduce repeated data entry and make onboarding easier to coordinate.

  • 02

    Service coordination

Simplify communication, task allocation and follow-up.

  • 03

    Staff rostering

Improve information flow between scheduling and operational systems.

  • 04

    Documentation

Reduce repetitive preparation and administrative processing.

  • 05

    Incident administration

Streamline notifications, records and follow-up tracking.

  • 06

    Billing and claims

Reduce manual reconciliation and avoidable administration errors.

  • 07

    Quality and compliance

Make existing information easier to organise, review and report.

  • 08

    Internal communications

Reduce unnecessary email and manual handovers.

The most valuable improvements usually become clear by speaking with the people doing the work.

Our approach

Start small. Solve real problems. Build from there.

Meaningful operational improvement begins with understanding, not implementation. At each step, we consider privacy, security, accessibility, accountability and people’s right to make their own choices.

  1. 01

    Understand

Learn how work happens today, where the friction is and what matters to your team and the people you support.

  2. 02

    Identify

Find where time is lost, delays or errors occur, and which improvements could make the greatest difference.

  3. 03

    Improve

Design and implement practical changes, from a simpler process to connected systems or targeted automation.

  4. 04

    Support

Help people adopt the changes and provide ongoing support as needs evolve.

Participant choice and control remain central. Automation supports agreed processes; it does not make decisions about a person’s support. AI-assisted outputs are reviewed by a person, and sensitive participant information is not needed for an initial research conversation.

Provider research

Help us understand the challenges facing care providers.

We’re speaking with NDIS and Aged Care organisations as we develop our workflow optimisation services. We’d value hearing from service managers, operations teams, administrators and organisational leaders who understand the day-to-day work.

  • Which administrative tasks take the most time?
  • Where do systems create frustration or duplicate work?
  • Which processes are difficult to coordinate, manage or report on?
  • Where could better technology make a meaningful difference for staff and the people they support?
